Data we collect

Player name, date of birth, guardian contact numbers, optional blood type for emergency use, attendance records and payment history. We do not collect data beyond what is needed to run training safely and administer memberships.

How we use it

To manage groups and schedules, record attendance, track membership cycles, contact guardians about sessions and payments, and respond appropriately in a medical emergency.

Who can see it

Administrators can view all academy records. Coaches can only see the players in the sessions they are assigned to. Guardians and players can only see their own record.

Storage and retention

Records are stored securely with access controls and are retained while a membership is active and for a reasonable period afterwards for accounting purposes.

Safeguarding

Coaches are expected to follow safeguarding good practice at all times: no one-to-one unsupervised contact, no private messaging with minors, and immediate reporting of any welfare concern to the academy owner.

Your rights

Guardians may request a copy of their child's record, ask for corrections, or request deletion of non-financial data at any time by contacting the academy.
